National Agreement Mandatory Paperwork for Acceptance of PPI Mail

Dear Colleague,

Branches will recall the previous initiatives around Mandatory Paperwork for Collections (MPC) and closing the revenue gap between posted volumes and the billing paperwork received for PPI mail.

As a result of recent detailed analysis using more sophisticated datasets a further gap in posted traffic versus billed services has emerged. Over 40% of Royal Mail’s acceptance points for PPI Mail have minimal controls in place, meaning PPI Mail posted with no paperwork could potentially be processed for free unless manually captured through Revenue Protection checks.

As a result 4 strands of activity have been identified and agreed in a bid to control PPI mail acceptance points and further close the revenue gap.

Extend and standardise acceptance control processes at Post Office Limited by use of PDAs, ensuring data flow to Enterprise Reporting. This functionality mirrors business collections.
Re-issue Internal Acceptance Point barcodes to Enquiry Office, Mail Centre receptions, Customer service Points to include a “daily” scan, ensuring data flow from PDA to Enterprise Reporting.
Personalise PPI Posting Documentation to individual customers, which will ensure no matter where a customer posts they can be identified.
Scope PDA software changes, to include automated RED X tagging, Red X notification and identification of fraudulent paperwork.

Each of the activities has their own specific deployment plans which are detailed below:

Strand 1 – Deployment scheduled for September 2017
Strand 2 – Phased deployment to commence 4th September
Strand 3 – Scoping completed. Potential deployment March 2018
Strand 4 – Scoping completed, going through prioritisation. Potential deployment March 2018

Training will be given to all staff affected by the activity taking place and will be done via the form of face to face training, existing PDA coaching materials and ongoing support of workplace coaches.

As the 4 strands of activity progress all the relevant information and data collated will be shared with the CWU, which will be reviewed nationally via the Collections Joint Working Group.

I think the question now needs to be how much PPI has been processed for free and for how long???

To be honest it has been a disgrace how much money has been lost on PPI - this company has lost millions through the years.

The whole process is a joke

No PPI mail should be accepted from customer unless they have corresponding paperwork.

Those are the rules .... but you get to a customer and the ordering system is down, or their printer is broken, or any other excuse, the OPG is still going to collect the mail because who wants to be accused of willfully delaying the mail, or being a nuisance to the customer.
